Distributing Documents Using Transmittals

You can distribute copies of documents to users who do not have access to AssetWise by issuing a transmittal. When changes are registered or implemented on information that has already been issued, AssetWise lets you issue change notifications to holders of affected document copies.

A document copy may be requested and issued in one of two ways:

  • Document distribution allows a number of copies to be distributed to a number of recipients. It is also possible to select a range of documents for distribution.
  • Document circulation means that one document copy is sent to a list of recipients in a defined sequence.

AssetWise keeps records of who received document copies, when the copies were issued, when the copies must be returned, and a number of other relevant attributes. AssetWise also prints a transmittal receipt notice, which the recipients must sign and return.

When a document is returned, you can update the database to indicate that the document copy has been returned. You can then destroy the document copy or specify a storage location for the copy. The copy can then be re-distributed at a later stage.
